HR Operations Specialist

Summary

Pyramid Healthcare provides behavioral healthcare services focused on addiction treatment, mental health recovery, and eating disorder treatment. The HR Operations Specialist manages compliant, accurate onboarding and credentialing in a highly regulated environment, ensuring new hires transition smoothly while maintaining audit readiness. This role also supports ongoing compliance tracking and documentation for internal and external audits.

What you'll do

  • Own and execute end-to-end electronic onboarding, ensuring timely completion of required employment documentation
  • Coordinate with external vendors for occupational health testing, background checks, I-9 employment verification, education verification, and other pre-employment requirements
  • Ensure onboarding and credentialing compliance with established guidelines and designated licensing codes
  • Partner with IT to coordinate systems access and equipment setup for new hires
  • Create and maintain employee profiles in internal HR systems and trackers
  • Support filing and compliance of new hire paperwork (e.g., offer letters, resumes, credential verification) into personnel files for audit readiness
  • Monitor onboarding progress, identify delays or compliance risks, resolve issues or escalate as needed
  • Communicate with candidates, managers, and stakeholders throughout onboarding to ensure a smooth start
  • Schedule orientation, notify hiring managers of new hires, track attendance, and document follow-up on non-attendance
  • Audit and maintain employee credential information per regulated licensing standards; update systems/files as needed
  • Regularly audit HR system data for discrepancies and regulatory compliance
  • Prepare documentation for internal and external audits and support ongoing compliance initiatives
  • Complete required trainings and recommend process improvements to strengthen compliance and operational effectiveness
  • Perform other duties as assigned

Requirements

  • Education: High School Diploma or GED required; Bachelor’s degree preferred

  • Experience: Minimum 1 year in HR operations, onboarding, credentialing, or related administrative work in a regulated environment preferred

  • Experience supporting compliance or audit processes strongly preferred

  • Technical: Proficiency in MS Office required; experience with HRIS platforms and navigating multiple systems preferred

  • Skills: Excellent verbal/written communication and interpersonal skills; strong organization, attention to detail, and follow-through

  • Working knowledge of local, state, and federal standards and regulating body standards

  • Ability to manage multiple priorities and deadlines in a high-volume, detail-oriented environment; able to work independently and with cross-functional/remote teams
