Summary

Porter and Chester Institute is a long-standing trade school in Connecticut and Massachusetts focused on training students for career success. The Registrar role oversees the integrity, accuracy, and security of academic records and ensures compliance with institutional, state, and federal requirements to support students from enrollment through graduation.

What you'll do

  • Maintain confidentiality, accuracy, and security of student academic records in compliance with FERPA, Title IV, and accreditor requirements.
  • Process and certify enrollment and re-enrollment, program/status changes (e.g., LOA, probation, SAP, withdrawals), and graduation/credential conferrals.
  • Conduct internal audits of student records and ensure compliance with retention and purging schedules.
  • Oversee timely processing of transcripts, enrollment verifications, and student record requests.
  • Manage course schedules, start rosters, academic calendars, and classroom assignments in coordination with Education leadership.
  • Provide accurate student information to support rosters, advising, and academic progress monitoring.
  • Oversee SIS data entry, accuracy, and reporting.
  • Maintain workflows between Admissions, Financial Aid, Career Services, Finance, and Academics to ensure data integrity.
  • Evaluate and update forms, processes, and systems to streamline compliance and improve efficiency.

Requirements

  • High School Diploma or GED.
  • 1–3 years of related work experience in higher education.
  • Strong knowledge of FERPA, Title IV, and accreditor standards related to student records.
  • Proficiency with Student Information Systems (SIS) and related reporting tools.
  • Ability to prepare, analyze, and maintain detailed records and reports with accuracy.
  • Ability to work independently with limited supervision.
  • Proficiency in word processing, spreadsheet, and database software.
  • Strong oral, written, organizational, interpersonal, and problem-solving skills.
  • Preferred:

    • Post-secondary education.
    • Experience in post-secondary or career-focused education.
    • Experience supporting audits or accreditation processes.

Conditions

  • Schedule: Monday–Friday, 8:00am–5:00pm.
  • Salary range: $42,000–$50,000 annually.
