Summary
Lumiere Financial (an SEC-registered investment adviser) is hiring an Associate Chief of Staff & AI Operations Associate to support the Managing Partner (CEO) in a high-trust, high-standards environment. The role combines executive support with ownership of key business pipelines and hands-on AI workflow automation to improve operational execution across the firm.
What you'll do
- Manage the Managing Partner’s complex business/personal calendar, including scheduling, rescheduling, prioritization, and deadline management.
- Own Outlook inbox management and correspondence execution (triage, drafting, proofreading, routing, and proactive follow-up).
- Support business development by following up with prospective clients and leads.
- Develop and maintain weekly dashboards and reporting across multiple pipelines with accurate stage tracking and next steps.
- Rebuild and administer pipeline systems for advisor recruiting, referrals/leads, and M&A opportunities, including process design, data hygiene, and operating cadence.
- Coordinate meeting preparation and post-meeting follow-through: capture notes, post to systems, and translate into assigned actions with owners and deadlines.
- Implement and maintain AI-enabled workflows and automations, including prompting, agent development, and integration using approved tools (e.g., Claude Opus and Microsoft/Azure environment).
- Improve adoption and reliability of productivity systems (Outlook workflows, AI notetaking, and operational tooling) and establish durable processes.
- Support operational activities such as client money movement coordination and trade execution when explicitly directed, following controls and escalation practices.
- Coordinate projects and administrative initiatives (vendor coordination, document preparation, and SOP/process documentation).
- Maintain strict confidentiality and comply with firm policies, information security requirements, and applicable regulatory standards.
Requirements
- Bachelor’s degree (or foreign equivalent).
- Proven experience supporting senior leadership in a Chief of Staff/Founder’s Associate, operations, financial analysis, software engineering, or similarly high-accountability role.
- Ability to manage competing priorities in a fast-paced environment with high attention to detail and consistent follow-through.
- Strong written and verbal communication skills, including drafting executive-level correspondence.
- Technical capability to contribute to automation and analytics initiatives; Python or R preferred.
- Ability to design, rebuild, and maintain pipeline processes and reporting systems (CRM and spreadsheet-based systems).
- High discretion and sound judgment handling confidential information.
- Willingness to work in-office five (5) days per week in New York, NY.
- Availability for occasional travel (approximately 5%–7%), primarily for client meetings.
- Clean background check; employment contingent upon confidentiality and non-solicitation obligations (restrictive covenant).
- Series 65 required (within 180 days).
Conditions

- Compensation: Base salary $64,000–$80,000 plus discretionary bonus up to $30,000 based on performance.
