Head of Operations

AdaptCFO is a fast-growing outsourced accounting and fractional CFO services firm supporting entrepreneurs and high-growth companies. The Director of Operations will lead and scale the firm’s operational backbone, ensuring consistent client delivery while building systems and processes for efficient growth. This role partners closely with the CEO, coordinates with the CFO bench, and manages operational flow between U.S. leadership and the Philippines accounting team.

• Oversee day-to-day operations of the firm.
• Implement and continuously improve operational processes and systems.
• Ensure consistent execution of client deliverables across teams.
• Identify operational bottlenecks and implement scalable solutions.
• Coordinate workflow between the U.S. leadership team and the Philippines accounting team.
• Support capacity planning and resource allocation across clients.
• Ensure communication, alignment, and accountability across departments.
• Serve as an operational point of contact for key clients.
• Ensure high-quality service delivery across bookkeeping, controller, and CFO services.
• Identify opportunities for process improvements and service enhancements.
• Coordinate with fractional CFOs to ensure operational support for client engagements.
• Assist in onboarding new clients and assigning appropriate service teams.
• Ensure alignment between client expectations and internal delivery.
• Manage internal operational tools (e.g., HubSpot), project management systems, and internal reporting.
• Oversee billing coordination and operational reporting.
• Support the CEO with operational strategy and execution.

• 7+ years of operations, consulting, finance, or professional services experience.
• Strong organizational and project management skills.
• Experience managing distributed or remote teams.
• Ability to work directly with executives, clients, and cross-functional teams.
• Excellent communication and leadership skills.
• Preferred: experience in accounting, consulting, or professional services firms.
• Preferred: familiarity with financial operations or accounting workflows.
• Preferred: experience managing offshore or international teams.
• Preferred: experience with tools such as HubSpot, QuickBooks Online, project management platforms, or CRM systems.
