Summary
Microsoft is hiring an Onboarding Coordinator to deliver a seamless, high-quality onboarding experience for new hires while supporting broader business operations. The role partners with HR, IT, hiring managers, and external partners to ensure employees are Day 1 ready and onboarding programs scale consistently.
What you'll do
- Own and execute end-to-end onboarding logistics at the Mountain View engineering site to ensure new hires are prepared, equipped, and welcomed.
- Partner with onboarding admins and IT to procure, prepare, allocate, and confirm device readiness; proactively communicate issues.
- Coordinate shipping, tracking, and delivery of devices and peripherals for remote hires and supported sites.
- Support and facilitate onboarding sessions (onsite and virtual), including room setup, materials preparation, and coordination with IT support.
- Prepare, send, and maintain updated pre-Day 1 and Day 1 onboarding templates.
- Maintain and monitor onboarding-related inventory (devices, peripherals, materials) and coordinate bulk orders as needed.
- Draft and distribute clear communications on onboarding processes, schedules, updates, and changes.
- Handle sensitive employee, candidate, and business information with professionalism and discretion.
- Support onsite recruitment and interview experiences (room setup, technology readiness, Wi-Fi access, loaner devices).
- Host candidates and visitors onsite and provide a professional, welcoming experience and orientation as needed.
- Collaborate with stakeholders to execute business and onboarding plans aligned to leadership priorities.
- Support rhythm-of-business processes by tracking milestones, preparing materials, and ensuring follow-through on action items.
- Track operational metrics related to onboarding effectiveness, readiness, and experience quality.
- Assist with operational planning, budgeting inputs, and resource coordination for onboarding programs.
- Support and manage onboarding-related projects; identify and implement scalable workflow/tool improvements.
Requirements
- Required: Bachelor’s degree in Business, Operations, Finance, or related field and 2+ years of experience in program management, process management, or process improvement (or equivalent experience).
- Preferred: Master’s degree with 3+ years experience, or Bachelor’s degree with 5+ years experience in program/process management or process improvement (or equivalent).
- Experience supporting onboarding, recruitment coordination, business operations, or office/program administration in a fast-paced environment.
- Strong organizational skills; ability to manage multiple workstreams, priorities, and deadlines.
- Clear, effective communication and ability to collaborate across diverse stakeholder groups.
- Detail-oriented and proactive; able to anticipate needs and surface risks/issues early.
- Comfort with office technology, collaboration tools, and basic troubleshooting for meetings and onboarding sessions.
- Professionalism, discretion, and service-oriented mindset when engaging candidates, new hires, and leaders.
Conditions
- Work location: MAI Mountain View engineering site; includes onsite support and coordination for remote hires.
- Compensation: typical U.S. base pay range stated as $76,800–$151,900 per year (higher range for specific locations noted).
- May be eligible for benefits and other compensation.
