Executive Assistant
Summary
WelbeHealth serves vulnerable seniors and is expanding its operations and leadership support needs. The Executive Assistant provides executive-level administrative coordination, logistics support, and communication facilitation for senior leaders, specifically supporting the CPO and the EVP of Corporate Strategy & Services. The role ensures smooth scheduling, meetings, travel, and stakeholder interactions while maintaining confidentiality and high service standards.
What you'll do
Provide executive-level administrative support to multiple executives.
Draft written communications as requested.
Coordinate travel arrangements and manage expenses.
Manage and coordinate executive schedules and calendars.
Coordinate meetings, take minutes, and maintain meeting records.
Plan and coordinate logistics for on-site tours and events.
Communicate with external stakeholders (e.g., vendors, elected officials, regulators, board members, quality improvement contacts) on behalf of leadership.
Greet and interact with community partners and visitors, creating a welcoming environment.
Protect privacy and maintain confidentiality regarding company procedures and information about team members, participants, and families.
Complete required documentation accurately and on time.
Follow company policies and procedures and participate in quality improvement activities, staff trainings, and meetings.
Requirements
Associate degree, or two (2) years of executive-level administrative experience in lieu of education.
Bachelor’s degree preferred.
Minimum five (5) years of experience supporting multiple executives as an Administrative Assistant or Executive Assistant.
Demonstrated experience with Microsoft Office; high-level knowledge of PowerPoint preferred; Teams and SharePoint preferred.
Highly motivated, self-directed, proactive, and able to execute tasks in a fast-changing environment.
Able to make sound decisions in emergency situations.
Strong customer service orientation.
Willing and able to work a varied schedule, including evenings, nights, and weekends.
Willing to travel at least once per quarter.
Conditions
Compensation range: $82,074–$108,337 per year plus bonus (pay varies by experience/qualifications).
Varied schedule may include evenings, nights, and weekends.
Travel required at least quarterly.
