Summary

Paramount Pictures is seeking a Coordinator, Special Events to support internal and external events at the Paramount Pictures Studio. The role partners with Event Managers and the Executive Director of Operations to plan, execute, and wrap events while managing multiple logistics streams simultaneously.

What you'll do

  • Support Event Managers by answering calls and assisting with event coordination needs.
  • Maintain relationships with vendors (especially preferred vendors) and obtain quotes for event services (florists, entertainment, rentals, activities).
  • Plan event logistics including venue availability and securing locations.
  • Execute setup requests and rental orders; administer pull sheets.
  • Ensure labor is assigned to appropriate project numbers and liaise with accounting/finance and studio services.
  • Maintain master and Event Manager calendars.
  • Manage guest lists and generate gate passes for tours and event days.
  • Conduct/assist with site tours and promote venue/vendor offerings.
  • Track budgets and support staying under budget while meeting event specifications.
  • Provide day-of-event support: problem-solving, welcoming guests, directing setup, coordinating staff, upselling where appropriate, organizing vendors, and assisting with strike.
  • Handle and follow up on S.O.’s, P.O.’s, COI’s, and Vendor Lot Agreements.
  • Support after-hours and weekend events as assigned.

Requirements

  • 2–3 years of experience in an administrative role.
  • Highly organized with strong multi-tasking and detail orientation.
  • Strong communication skills and ability to present event ideas and plans to clients and vendors.
  • Computer proficiency with Microsoft Word, Outlook, Excel, and PowerPoint; familiarity with accounting and customer management programs.
  • Preferred: Bachelor’s degree.
  • Preferred: experience with basic accounting and purchase orders.
  • Preferred: basic event coordination training and special events/vendor relations background.
  • Must submit a resume/CV online.
  • Must be willing to undergo a background investigation.
  • Must have unrestricted authorization to work in the United States.
