Executive Assistant
Summary
Talkdesk is a global Customer Experience Automation (CXA) company building AI-first solutions for customer interactions. The Executive Assistant will provide executive and operational support across Product & Engineering and Customer Experience while leading day-to-day workplace operations for the Bellevue office.
What you'll do
- Provide administrative and operational support across Product & Engineering and Customer Experience.
- Manage complex calendars and coordinate meetings across cross-functional stakeholders.
- Draft and edit high-quality correspondence, reports, and leadership materials.
- Prepare meeting agendas and briefing documents, conduct research, compile supporting materials, and track action items and deadlines to completion.
- Coordinate domestic and international travel logistics and documentation.
- Submit, reconcile, and track expense reports accurately and discreetly.
- Maintain organized records and documentation across key initiatives and handle confidential information professionally.
- Own day-to-day workplace operations for the Bellevue office and ensure the environment supports productive work and reflects company culture.
- Serve as primary point of contact for visitors, candidates, partners, and customers.
- Manage mail distribution, shipments, and delivery logistics.
- Oversee vendor relationships (facilities, cleaning, catering, kitchen, security, office supplies) and liaise with building/property management.
- Maintain conference rooms, common areas, and shared spaces; manage office inventory and supply budgets as needed.
- Partner with People Ops on onboarding logistics and workspace setup.
- Coordinate basic IT-related logistics in partnership with the IT team.
- Support planning and execution of office culture initiatives, team events, offsites, leadership meetings, and in-office gatherings.
- Act as an operational partner across Product, Engineering, CX, and Marketing teams.
Requirements
- 8+ years of executive assistant, office management, or operations experience in a fast-paced environment.
- Experience supporting technical or cross-functional teams preferred.
- Strong writing and editing skills for professional correspondence.
- Exceptional organizational skills and strong attention to detail.
- Proven ability to manage vendors and workplace operations.
- Tech-savvy; proficiency with Google Workspace and task management/collaboration tools (e.g., Asana, Zoom, Slack).
- High level of discretion and experience handling confidential information.
- Excellent verbal and written communication skills.
- Strong problem-solving skills and ability to prioritize independently.
- Ability to work full time in the Bellevue, Washington office.
- Willingness and ability to work a flexible schedule and manage changing priorities with composure.
Conditions
Location: Full time in-office in Bellevue, Washington.
Schedule: Full-time; flexible schedule required.
Compensation: Base pay range $100,000–$134,000 per year; may be eligible for equity and bonus/commission based on level and role.
