Summary
Air is a Creative Ops System that helps creative teams manage content through automation, image recognition, automated versioning, and approval workflows. The Event Coordinator (part-time, contract) supports the execution of community and brand events at Air’s NYC SoHo office. The role focuses on hands-on event setup, vendor coordination, guest operations, and post-event reset.
What you'll do
- Coordinate with vendors (catering, rentals, AV, florals, entertainment) and act as onsite point-of-contact
- Track deliveries, manage load-in schedules, and oversee vendor load-in/setup logistics
- Source supplies, prepare inventory, and set up event materials (signage, name tags, check-in systems, seating charts)
- Support room setup including furniture moves, staging, lighting, styling, and hospitality/food & beverage flow
- Run guest check-in and registration and help keep the event timeline on track
- Troubleshoot real-time issues quickly and calmly during events
- Oversee breakdown/strike, returns, and reset the space to standard office configuration
- Inventory remaining supplies and flag damages or operational issues
Requirements
- 1–3+ years of experience in events, hospitality, production, or experiential marketing
- Ability to lift/move furniture and remain on your feet for extended periods
- Highly organized and detail-oriented
- Calm under pressure; solutions-focused
- Professional and friendly with guests and vendors
- Flexible schedule, including evening availability; comfortable with irregular hours based on event schedule
Bonus:
- Experience in a startup or fast-paced environment
- Basic AV familiarity
- Experience with guest list tools or event platforms
- Strong familiarity with NYC vendors
Conditions
- Part-time contract role with variable hours each month
- May require daytime and evening setup; irregular hours depending on event schedule
- Onsite support for events at Air’s SoHo office (NYC HQ)
- Compensation: $40–$50 per hour (USD), commensurate with experience
- High performers may be considered for full-time opportunities as the team scales
