An innovative well\-established private equity firm is seeking a proactive Executive Assistant to provide high\-level administrative and operational support to the senior leadership team while overseeing the day\-to\-day management of the firm’s New York office. This role combines executive\-level support with ownership of office operations, making it ideal for a resourceful professional who thrives in a fast\-paced, high\-performance environment. The ideal candidate has 5\+ years of experience supporting senior executives within private equity, investment management, or financial services, and is adept at balancing executive support, team coordination, and operational oversight with discretion and professionalism. **Key Responsibilities** **Executive Support** * Provide dedicated administrative support to senior partners and executives, including complex calendar management, travel coordination, and meeting logistics * Prepare and edit correspondence, presentations, and meeting materials with a high level of accuracy and polish * Manage priorities, track follow\-ups, and ensure timely execution on key deliverables * Coordinate investor and portfolio company meetings, conferences, and events, both domestic and international * Handle confidential information with sound judgment and discretion **Office Management** * Oversee daily office operations, including facilities, vendors, and supplies to ensure a professional and efficient work environment * Serve as primary point of contact for the firm’s external vendors and building management * Support onboarding and offboarding processes for employees and contractors * Manage expense reports, invoice processing, and budget tracking related to office operations * Coordinate internal events, team meetings, and firmwide communications * Identify and implement process improvements to enhance efficiency and organization across the office **Qualifications** * Minimum 5 years of experience in an Executive Assistant role within private equity, investment management, or financial services * Exceptional organizational and multitasking skills; able to anticipate needs and manage shifting priorities * Strong written and verbal communication abilities, with a professional and polished presence * High level of integrity, discretion, and confidentiality in handling sensitive matters * Proficient in Microsoft Office Suite; experience with expense and travel management systems preferred * Hands\-on, proactive, and resourceful with a “no task too small” mentality * Ability to work both independently and collaboratively in a small, fast\-paced office environment **Compensation \& Benefits** * Total Compensation: $120,000 – $160,000 (commensurate with experience) * Annual discretionary bonus * Comprehensive medical, dental, and vision insurance * 401(k) with employer contribution * Generous paid time off and firm holidays * Opportunity to take ownership of office operations and contribute to a high\-caliber, collaborative team
