OFFICE MANAGER / EXECUTIVE ASSISTANT TO PRESIDENT

Summary

CGC is a global brand-building communications agency specializing in brand communications, influencer marketing, and talent representation, with offices in London, New York, and LA. CGC NYC is hiring an Office Manager / Executive Assistant to the President to support senior leadership and office operations while helping drive business performance and client service.

What you'll do

  • Provide admin and IT support, including diary management and virtual meeting coordination
  • Manage the President’s emails, organizing and responding where required
  • Handle personal diary items, holidays, and general support duties as needed
  • Draft documents, reports, and research for client and new business presentations
  • Conduct background research and present findings
  • Manage new business enquiries efficiently and professionally
  • Coordinate client scheduling and meetings
  • Book travel, accommodation, and agendas for leadership and clients
  • Maintain and update databases and address books
  • Arrange appointments, reservations, meetings, and equipment setup
  • Manage company technology inventory (computers, phones) and coordinate issue resolution with third-party IT services
  • Devise and maintain office systems, including data management and filing using Google Drive
  • Organize office layout and maintain stationery and equipment supplies
  • Action contracts and agreements for new clients, coordinating with legal as needed
  • Support the team with projects and research, including new business proposals
  • Liaise with the landlord/building management on office requirements and related payments
  • Manage office paperwork and documentation
  • Maintain health and safety standards and policies across the company
  • Support HR partner with employee contracts, onboarding, exits, and other HR duties as applicable
  • Manage inventory and office stock
  • Support product send-outs and mailers to press and influencers for activations and launches
  • Assist teams with daily business needs as necessary
  • Attend and support events where necessary
  • Represent the agency professionally

Requirements

  • 1–2 years of previous experience in a relevant role
  • Personable and professional client service and media relations skills
  • Experience collating and analyzing information to determine success and insights
  • Exceptional written and verbal communication skills
  • Creative, proactive, and able to use initiative
  • Highly organized with strong attention to detail
  • Self-motivated and deadline focused
  • Budget conscious
  • Proficiency in Microsoft Word, Excel, and PowerPoint
  • Experience working with analytical tools
  • Enthusiastic team player with a helpful, can-do attitude
  • Similar experience in the fashion, beauty, or lifestyle industry preferred
