Summary
Zillow is seeking an Executive Assistant to provide high-level administrative and operational support to senior executives in a fast-paced, cross-functional environment. The role focuses on enabling executive effectiveness through excellent judgment, discretion, and proactive ownership of complex scheduling, travel, events, and process improvement, including AI-enabled workflows.
What you'll do
- Provide top-level executive support with discretion, professionalism, and sound judgment
- Manage complex executive calendars, scheduling, and prioritization of incoming requests
- Coordinate and book travel arrangements with complex logistics
- Plan and run internal and external meetings and events (agendas, all-hands, off-sites), including materials preparation and detailed logistics
- Serve as liaison to direct reports, internal teams, and external partners; represent executives internally and externally
- Partner with other Executive Assistants to align leadership rhythms and ensure seamless cross-functional execution
- Design and implement processes across functions/offices to improve communication, efficiency, and operational excellence
- Track administrative activities and drive completion of key deliverables (analyses, reports, write-ups)
- Manage expense reporting, reconciliation, records management, and related administrative duties
- Anticipate follow-ups and proactively manage upcoming needs
- Support special projects and potentially manage select programs
Requirements
- 7+ years of Executive Assistant experience, including 3–5 years directly supporting multiple senior-level executives
- Experience supporting executives in a remote environment
- Demonstrated ability to leverage digital tools, automation, and AI-enabled technologies to increase efficiency
- High discretion and strong judgment when handling confidential information
- Excellent communication, organization, and stakeholder management skills
- Ability to anticipate needs, prioritize effectively, and manage multiple competing demands in a fast-paced remote setting
- Ability to work independently while collaborating effectively and building strong working relationships
- Proven ability to identify and improve operational processes; accountability and receptiveness to feedback
- Proficiency with Google Workspace (Docs, Sheets, Slides), Zoom, Slack, and mobile tools
- Bachelor’s degree preferred
- Technology sector experience is a plus
Conditions
- Remote role; U.S. employees may live in any of the 50 United States with limited exceptions
- Must be able to provide support at minimum during 9am–4pm PT
- May require up to 25% travel annually
- Compensation includes base salary range by location plus eligibility for equity awards
