Summary

WelbeHealth serves vulnerable seniors and is expanding its services and operations. The Executive Assistant provides high-level administrative coordination and logistics support for senior leaders, supporting the CPO and the EVP of Corporate Strategy & Services. The role focuses on scheduling, communications, meetings, travel/expenses, and special projects while maintaining confidentiality and professionalism.

What you'll do

  • Provide executive-level administrative support to the Executive Team.

  • Draft written communications as requested.

  • Coordinate travel arrangements and manage expenses.

  • Manage and coordinate executive calendars and schedules.

  • Coordinate meetings and take/maintain meeting minutes.

  • Plan and coordinate logistics for on-site tours and events.

  • Communicate with external stakeholders on behalf of leadership (e.g., vendors, elected officials, regulators, board members, quality improvement partners).

  • Greet and interact with community partners and visitors, creating a welcoming environment.

  • Protect privacy and maintain confidentiality regarding company procedures and information about team members, participants, and families.

  • Complete required documentation accurately and on time.

  • Follow WelbeHealth policies/procedures and participate in required quality improvement activities, trainings, and meetings.

Requirements

  • Associate degree (or at least 2 years of executive-level administrative experience in lieu of education).

  • Bachelor’s degree preferred.

  • Minimum 5 years of experience supporting multiple executives as an Administrative or Executive Assistant.

  • Demonstrated Microsoft Office experience; high-level knowledge of PowerPoint, Teams, and SharePoint preferred.

  • Ability and willingness to work a varied schedule including evenings, nights, and weekends.

  • Willingness to travel at least once per quarter.

  • Highly motivated, self-directed, proactive; able to execute in a rapidly changing environment and make sound decisions in emergency situations; strong customer service orientation.

  • Compensation listed as $82,074–$108,337 per year plus bonus.
