Executive Assistant
Summary
The Walt Disney Company is hiring an Executive Assistant to support leaders within the Disney Legal Litigation and Patents team. The role focuses on high-level executive support, complex scheduling, and acting as a key partner and point of coordination across senior stakeholders. This position is designed to keep executives prepared, prioritized, and operating effectively in a fast-changing environment.
What you'll do
- Schedule high-level, time-sensitive, multi-party meetings and videoconferences.
- Interface directly with senior executives and their support teams across the company.
- Review and optimize leaders’ calendars, building in time for travel and preparation.
- Ensure executives are prepared for meetings and events, including topic research and reporting as needed.
- Triage and prioritize calendar requests, emails, phone calls, and inquiries based on daily priorities.
- Book internal and offsite conference rooms and support meeting/video setup.
- Adapt quickly to urgent changes, rebuilding schedules after emergencies.
- Handle extremely confidential and sensitive information in a public-company environment.
- Enter relevant business information and data into internal systems and databases as directed by attorneys and/or paralegals.
- Occasionally assist with onboarding new employees and serve as a key support contact.
- Manage internal and external communications, distribution sources, and directories.
Requirements
Experience: 5+ years supporting a Vice President or equivalent executive support experience.
Communication: Strong written and verbal communication skills with flawless grammar and strong vocabulary.
Work style: Ability to multitask in a fast-paced, constantly changing environment while prioritizing deadlines and deliverables.
Tools: Proficiency with computers, phones, office equipment; mastery of Microsoft Office in a Windows environment; experience with SAP and Concur.
Professional skills: Calm under pressure, high EQ, relationship-building, reliability with confidential information, strong organizational skills, and extreme attention to detail.
Preferred: Experience at The Walt Disney Company; experience in entertainment/media and/or a legal department; familiarity with VTC conferencing, Microsoft Teams, NetDocuments, and DocuSign (or ability to learn team-specific platforms).
Education (preferred): Bachelor’s degree and/or equivalent experience.
Conditions
Location: Burbank (on-site location referenced for pay range).
Schedule: 40-hour work week; weekly hours may vary based on business needs.
Compensation: Annual hiring range stated; bonus and/or long-term incentive units may be included.
