Summary
Serve Freight is a high-reliability logistics operator specializing in complex freight execution for mid-market shippers and project-driven industries. The Executive Operations Manager will act as the CEO’s operational right-hand, owning the day-to-day business rhythm while driving process ownership and cross-functional coordination. The purpose is to keep operations running smoothly and proactively resolve issues so the CEO can focus on high-leverage priorities.
What you'll do
- Manage the CEO’s calendar (scheduling, rescheduling, conflict resolution) and triage/prioritize the CEO’s inbox.
- Coordinate travel logistics and prepare meeting agendas, pre-reads, and follow-up action items.
- Pull and format weekly operational dashboards from Turvo, QuickBooks, and HubSpot.
- Run down accounts receivable discrepancies, flag issues, and prepare financial summaries/talking points for leadership meetings.
- Support the strategic advisor with slide deck preparation and data pulls.
- Draft, document, and maintain internal SOPs and workflows across departments.
- Research and recommend operational tools within defined budget parameters and integrate approved tools into existing workflows.
- Investigate and resolve minor operational issues across departments before they reach the CEO; triage what to handle vs. what to escalate.
- Reschedule initiative timelines when circumstances change and coordinate with internal teams across operations, accounting, and brokerage.
Requirements
- 5–8 years of experience in operations, executive support, or chief-of-staff-adjacent roles (growing company experience; under 50 employees preferred).
- Comfortable wearing multiple hats and operating across departments.
- Able to make decisions without perfect information and work effectively with ambiguity.
- Strong written communication skills (SOPs, slide decks, emails) with minimal editing needed.
- Data-literate; able to pull and present operational and financial data.
- Comfort learning tools quickly; exposure to Turvo (TMS), QuickBooks Online, HubSpot, Google Workspace, Slack, Notion, Excel/Sheets is beneficial.
Conditions
- Remote role in the US; must be in Eastern or Central time zone.
- Employment type: Full-time W-2 or part-time contractor (1099).
- Compensation: $75,000–$95,000 annually for full-time, or $42–$55/hour for part-time (~20 hours/week).
- Target start date: March/April 2026.
- Decision-making authority within defined boundaries; escalation required for external commitments, above-threshold expenditures, sales/pricing changes, and strategic/partnership decisions.
