Manager, Executive Office

Summary

FIJI Water is a premium bottled water brand within The Wonderful Company, focused on responsible business and sustainability. The Manager, Executive Office provides high-level executive support to the President while overseeing executive office operations and dotted-line leadership of administrative staff. The role ensures efficient workflows, precise prioritization, and effective coordination across stakeholders and initiatives.

What you'll do

  • Manage a high-volume calendar, meetings, travel, and commitments for the President, ensuring priorities, deadlines, and details are accurate and communicated.
  • Provide continuous updates to the President via phone and in person; anticipate needs and prepare meeting and presentation materials.
  • Coordinate with executive, administrative, and line management to gather and relay relevant information.
  • Arrange complex travel itineraries with contingency plans and submit accurate expense reports within policy deadlines.
  • Draft, proofread, and prepare confidential correspondence and reports; maintain strong relationships that support the President’s success.
  • Support special projects and cross-departmental initiatives.
  • Provide dotted-line leadership to administrative staff, coordinating office procedures to streamline operations and improve efficiency.
  • Manage office resources and oversee supplies, equipment, and facilities to maintain an organized, productive environment.
  • Oversee strategic planning initiatives that improve administrative processes and support organizational objectives.
  • Prioritize and resolve conflicting demands with sound judgment; gather, analyze, and summarize information into clear reports with insights and action items.
  • Track and support oversight of budgets, timelines, and operational updates; maintain secure digital and physical files.
  • Plan and organize department offsites, events, and meetings; coordinate logistics for internal and external meetings.
  • Serve as a professional point of contact; screen calls/correspondence and respond independently on behalf of the Chairman; follow up on action items to completion.

Requirements

  • Minimum 7 years of executive-level administrative experience supporting senior leadership in complex, high-volume environments.
  • Bachelor’s degree preferred; equivalent relevant experience considered.
  • Prior experience leading a team of administrative professionals preferred.
  • Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams).
  • Strong calendar management, travel coordination, expense processing, and executive correspondence/report preparation skills.
  • Excellent written and verbal communication; ability to draft professional correspondence and reports.
  • Project management capability (planning timelines, assigning tasks, monitoring progress).
  • Office management and workflow optimization experience; facilities coordination and administrative compliance knowledge.
  • Experience reviewing financial documents (budgets, POs, invoices, expense reports) with understanding of internal controls and cost tracking.
  • High discretion, integrity, and ability to handle confidential information; detail-oriented with ability to convert complex data into actionable summaries.
  • Proactive, anticipatory, adaptable problem-solver; strong interpersonal skills and ability to build trust quickly.
  • Exposure to SAP Concur, PowerBI, Smartsheet, Inspyrus, Yardi, and/or Oracle Fusion is a plus.

Conditions

  • Location: West Los Angeles, CA corporate office.
  • Hybrid schedule: in-office Monday through Wednesday; remote option Thursday and Friday.
  • Occasional on-site support required for events, meetings, and departmental activities.
  • Pay range: $100,000–$110,000 annually plus potential discretionary bonus.
