Summary
TeamSnap is a remote-first sports communication platform focused on making youth sports easier to manage. The Executive Assistant will provide proactive, high-discretion support to multiple members of the Executive Leadership Team to keep leaders organized and operating effectively in a fast-paced, fully remote environment.
What you'll do
- Manage scheduling and communications support for 5 executives to improve daily productivity.
- Organize meetings by scheduling, sending reminders, preparing agendas, and driving follow-ups.
- Coordinate domestic and international travel and meeting setups for the executive team.
- Proactively review calendars to prevent conflicts and create focus time; handle last-minute shifts across EST, CST, MT, and PST.
- Coach leaders on how to work most effectively with an Executive Assistant.
- Build monthly All Hands and Sales Team meeting agendas and slides.
- Collect and synthesize weekly status updates from direct reports and track monthly OKRs to maintain operating cadence.
- Plan and coordinate client meals, gifting, research and book events, and manage quarterly/bi-annual internal offsite logistics.
- Support ad hoc projects and help solve unexpected challenges as needed.
Requirements
Experience:
- 5+ years as an Executive Assistant supporting multiple senior executives (ideally ELT-level), office administrator, or similar.
Core skills:
- Strong communication skills (in person, written, video/phone).
- Exceptional organization, prioritization, and time management.
- High flexibility and comfort with ambiguity and changing priorities.
- Ability to handle sensitive information with discretion.
- Strong customer service orientation and consistent follow-through.
- Independent, proactive working style; able to juggle multiple stakeholders and priorities.
Tools & ways of working:
- Highly computer literate; proficiency with Microsoft Office Suite, Google Workspace, and other SaaS applications.
- Comfortable operating fully remote and coordinating across multiple stakeholders with competing priorities.
Professionalism:
- Polished professionalism and client readiness, including event coordination and thoughtful gifting.
Conditions
- Fully remote, remote-first company (remote since 2009).
