Operations Manager

Summary

SuiteSciens is a NetSuite consulting and managed services firm focused on post-implementation governance across multiple service models and industry verticals. The Operations Manager enforces capacity limits and margin integrity, identifies misalignment with contracted service models, and escalates recommendations (including saying no) to protect delivery reliability and profitability.

What you'll do

  • Review active client accounts weekly against contracted service models and capacity.
  • Identify client misalignment and escalate findings with data and specific recommendations (reclassify, upgrade tier, initiate conversation, or pause intake).
  • Build and maintain capacity dashboards by client, including utilization thresholds (e.g., 80%) and overages tracking.
  • Calculate profitability by client, surface margin risks, and present options and trade-offs to leadership.
  • Participate in new client discovery and recommend the appropriate service model; recommend “no” or “not yet” when warranted.
  • Conduct quarterly client reviews and formally recommend reclassification or tier changes based on data.
  • Drive process improvement initiatives by analyzing workflows, identifying bottlenecks, and implementing solutions.
  • Lead cross-department collaboration to optimize workflows, reduce inefficiencies, and improve customer experience.
  • Manage vendor relationships and renewals (insurance, software subscriptions, registrations, compliance filings).
  • Organize contracts, renewals, and key dates; coordinate with accountant/advisors on tax filings and compliance deadlines.
  • Create and maintain lightweight SOPs and checklists to reduce CEO operational oversight.
  • Track operational metrics (capacity utilization, profitability, escalation patterns) and drive follow-through on recommendations.
  • Manage the administrative support team (1–2 people): set standards, delegate work, and track completion.
  • Coordinate between team and leadership to ensure operational actions are executed.

Requirements

  • 5+ years of experience in professional services, consulting, agency, or managed services operations.
  • Direct experience managing capacity, utilization, or profitability across multiple engagement models.
  • Deep understanding of scope creep with demonstrated ability to flag and confront it early.
  • Proven record of building operational processes that teams consistently follow.
  • Experience enforcing standards and holding people accountable; comfortable escalating issues.
  • Strong spreadsheet and data analysis skills; able to identify trends, anomalies, and systemic issues.
  • Ability to turn data into clear recommendations (including declining requests) and present options/trade-offs to leadership.
  • Strong organizational skills and reliable follow-through.
  • Lean or Six Sigma knowledge is a plus.
  • Direct, clear communicator; hands-on, low-ego, willing to build structure as you go.

Conditions

  • Hybrid role, typically 2–3 days per week in office.
  • Georgia-based; Cherokee or Cobb County preferred.
