Executive Assistant
Summary
The Walt Disney Company is hiring an Executive Assistant to support the Assistant Chief Counsel (Disney Direct to Consumer Legal) and other legal professionals. The role focuses on managing workflow, communications, scheduling, and operational coordination to keep the DTC Legal Group running efficiently.
What you'll do
Manage calendars, schedule meetings/appointments, and coordinate with administrative colleagues to streamline scheduling and communication
Conduct contract searches across multiple repositories
Prepare and submit travel and expense reports
Draft correspondence; manage incoming/outgoing mail; prioritize incoming communications
Coordinate meeting logistics including room bookings and audiovisual set-up
Monitor and triage shared Legal inbox in Outlook; route legal correspondence to appropriate internal teams
Oversee subpoena intake process and distribute subpoenas to appropriate legal and business stakeholders
Maintain files and coordinate pickup/delivery of materials, including courier and overnight services
Maintain strict confidentiality for all matters and documents
Support weekly updates, research projects, and other department projects as requested
Anticipate timing issues and help ensure matters run on time
Provide periodic office management support (building occupancy matters, facilities issues, ordering supplies, liaising with building management)
Onboard new employees, including physical and IT access
Perform special projects and other related duties as assigned
Requirements
3+ years of relevant experience
High school degree or equivalent (required)
Strong organizational skills; ability to multitask and prioritize efficiently
Excellent written and verbal communication skills; detail-oriented with accurate input and proofreading skills
Ability to work effectively in a fast-paced, demanding environment while managing deadlines
Team-oriented; able to interact well with all levels of personnel
Flexible and adaptable; self-starter with strong work ethic and professionalism
Proficiency with Microsoft Word, Excel, Outlook, and DocuSign
NetDocuments experience preferred
Familiarity with technology-related matters preferred

Full-time, nonexempt position
On-site role
40-hour work week stated for pay range; hours may vary based on business needs
Compensation includes potential bonus and/or long-term incentive units (may be provided)
