Summary

The Philadelphia Museum of Art is hiring an Exhibition Assistant to support the Special Exhibitions Planning team for two forthcoming projects. The role focuses on organizing, tracking, and communicating exhibition object information across departments and external partners to support exhibition and publication development.

What you'll do

  • Assist with research and preparation of exhibition materials and publication content for the exhibition team (curators, registrars, conservators, exhibition designers)
  • Develop and maintain the TMS exhibition module and object packages with current details, including display requirements and loan conditions
  • Obtain publishable photographs and secure permissions for works included in the exhibition and publication
  • Research and maintain up-to-date bibliographic references for works in the exhibition
  • Communicate object information and installation plans to internal teams as needed
  • Coordinate conservation-related preparation of artworks for display
  • Draft object labels for exhibition artworks
  • Attend meetings and support curators with inter-departmental coordination
  • Coordinate communications between curators and external exhibition partners
  • Perform other duties as assigned

Requirements

  • Prior experience conducting research
  • Experience with modern printmaking and drawing (preferred)
  • Strong communication, organization, and time-management skills
  • Demonstrated attention to detail
  • Experience working within a team
  • Technical proficiency with personal computers and standard office equipment
  • Fluency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Access)
  • Experience with collection management software; TMS (The Museum System) preferred
  • B.A. or equivalent; degree in art history or museum studies preferred

Conditions

  • Compensation: $22.00/hour
  • Full-time, non-exempt; 35 hours per week
  • Union role: AFSCME Local 397 bargaining unit
  • Onsite requirement: fully onsite at Philadelphia Museum of Art locations
  • Term: 2-year position (March 16, 2026 to March 10, 2028)
  • Reports to: Head of Prints, Drawings, and Photographs
  • Physical requirements: ability to remain stationary for extended periods; use computers/office equipment; work in office/gallery/exhibit spaces; move items up to 10 pounds; access most museum areas
  • Background check required after conditional offer
