Recreation Coordinator (Events)

Summary

The City of Avondale Parks, Recreation & Libraries Department is hiring a Recreation Coordinator (Events) to support and oversee recreation programming and City-sponsored special events. The role focuses on planning, producing, and executing events, coordinating vendors and logistics, and developing sponsorship relationships to enhance community access to parks and public spaces.

What you'll do

  • Plan, coordinate, and monitor recreation programs, classes, leagues, and City-sponsored special events, including locations, schedules, transportation (if needed), equipment, supplies, and required paperwork/releases.

  • Lead Special Events Division work including event production and execution, vendor coordination, logistics management, and on-site oversight.

  • Recruit, onboard, and manage sponsorships; maintain sponsor relationships; coordinate sponsor recognition and deliverables.

  • Hire, train, supervise, motivate, and evaluate full-time, part-time, seasonal staff, contractors, and volunteers; promote teamwork and coordinate frontline customer service training.

  • Oversee activities and setups at designated locations (parks, school facilities, ball fields, and other public facilities) to support programs and events.

  • Provide administrative support such as answering phones, interacting with the public, entering purchase orders and petty cash, and ordering/maintaining supplies and equipment.

  • Market and promote programs and events through brochures, website updates, social media, flyers, email blasts, and coordinated campaigns with partner agencies.

  • Assist with facility management and the purchasing, care, and inventory of program equipment.

  • Assist in planning the annual program budget; forecast revenues/expenses, authorize payments, monitor expenditures, recommend adjustments, and evaluate program performance.

  • Prepare program evaluation reports; conduct on-site inspections to ensure compliance with safety policies, laws, and regulations; recommend improvements.

  • Collaborate with school districts, non-profits, citizens, vendors, instructors, sponsors, and internal departments to coordinate and promote activities and events.

  • Ensure safety protocols and proper supervision, including coverage that may involve evenings, weekends, and holidays.

  • Research and incorporate recognized trends, ideas, and standards; develop policies and procedures to monitor program effectiveness.

  • Perform other duties as assigned.

Requirements

  • Bachelor’s Degree in Recreation, Public Administration, or a closely related field (Master’s Degree preferred).

  • Three years of experience in recreation, sports, leisure class administration, and/or special events.

  • Lead or supervisory experience preferred (one year).

  • Valid Arizona Driver’s License.

  • Ability to obtain First Aid/CPR certification upon hire.

  • Background check required.

  • Bilingual skills highly desirable.

  • Certified Parks and Recreation Professional preferred.

Conditions

  • Location: City of Avondale (Parks, Recreation & Libraries Department), Special Events Division assignment.

  • Work may include evenings, weekends, and holidays to support event and program operations and on-site supervision.
