Summary
FreeWheel, a Comcast company, provides ad platforms for publishers, advertisers, and media buyers across global markets. The Executive Assistant provides high-level administrative support to the Chief Product Officer, Chief Technology Officer, and General Manager (Strata), ensuring smooth scheduling, travel, and meeting logistics. The role focuses on proactive calendar management, executive readiness, and handling confidential information with professionalism.
What you'll do
- Manage executive calendars with a proactive, detailed approach, including internal and external meetings and presentations.
- Coordinate and schedule meetings; gather and prepare required materials and/or equipment.
- Plan and coordinate executive and department calendar of events, supporting the administrative running of the departments led by the executives.
- Schedule domestic and international travel and produce detailed itineraries.
- Maintain travel and expense records, including form preparation and reconciliation.
- Assist with planning department events, staff meetings, and related activities.
- Handle phone and email inquiries from internal and external contacts; answer routine questions and provide information.
- Register and escort visitors as needed.
- Conduct research, prepare leaders for meetings, and manage information flow to facilitate decision-making.
- Perform other duties and responsibilities as assigned.
Requirements
- 5–7 years of relevant administrative/executive assistant experience supporting senior leaders and C-suite executives.
- High school diploma or GED.
- Strong knowledge of Microsoft Office tools, including Outlook, Teams, Excel, PowerPoint, and Word.
- Skills in scheduling and organizing; ability to coordinate complex calendars and travel.
- Ability to work in a fast-paced, constantly changing environment while maintaining attention to detail and broader context.
- Proactive, consultative approach (asks probing questions, manages expectations, stays ahead of issues and opportunities).
- Excellent relationship-building and communication skills with stakeholders at all organizational levels.
- Ability to handle highly confidential and sensitive company information with discretion.

- Must be able to work nights and weekends, variable schedules, and overtime as necessary.
