Executive Assistant

Summary

Unitek Learning, a healthcare education organization, is hiring an Executive Assistant to support the Provost/Chief Academic Officer and National Deans. The role provides high-level administrative and operational support to manage schedules, communications, projects, and events so senior leaders can focus on strategic priorities.

What you'll do

  • Handle sensitive information with professionalism and confidentiality.

  • Manage complex executive calendars, travel arrangements, and meeting logistics.

  • Draft and edit high-level correspondence, reports, presentations, and confidential documents; support oral communication preparation.

  • Prepare C-suite presentations and formal reports for meetings.

  • Conduct research and compile/analyze data to create leadership-ready reports and presentations.

  • Generate and submit weekly, monthly, quarterly, and annual reports.

  • Coordinate meetings as needed; create agendas, track action items, and follow up on deliverables.

  • Manage contacts and communications by answering/returning calls and emails on behalf of executives.

  • Prepare expense reports; process credit card expenses/receipts; manage purchasing and invoices for Corporate Academics.

  • Anticipate leadership needs, proactively solve problems, and make independent decisions.

  • Coordinate cross-departmental requests and stakeholders.

  • Independently manage and prioritize National Deans’ inboxes, ensuring timely responses and follow-up.

  • Support academic projects by managing documentation, tracking milestones, and coordinating follow-up with project teams.

  • Plan and execute events, including budgeting, vendor/venue coordination, materials, and communications.

  • Maintain project libraries and records; perform other duties as assigned.

Requirements

  • Associate degree plus 5 years of related experience.

  • At least 3 years of executive support experience for senior management and/or C-level leaders (corporate or educational setting).

  • At least 3 years of calendar management experience and 1 year of travel management experience.

  • Advanced skills in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.

  • Strong attention to detail and ability to prioritize/manage multiple tasks in a fast-paced environment.

  • Strong computer proficiency and ability to learn quickly.

  • Excellent oral, written, and interpersonal communication skills.

  • Collaborative teamwork style; calm, organized, proactive, and positive/caring attitude.
