The Executive Assistant and Office Manager will support the CEO and CPO by optimizing their time and will run day-to-day operations for the New York City office to foster an engaging in-person workplace culture.
What you'll do
- Manage and maintain complex calendars for the CEO and CPO, scheduling internal/external meetings, resolving conflicts, and prioritizing commitments.
- Coordinate meeting logistics, including venues and required technology.
- Arrange domestic and international travel (flights, accommodations, ground transportation, itineraries).
- Provide operational support including vendor management, expense report processing, and special projects (research to high-stakes event logistics).
- Serve as main point of contact for building management and liaise with the office super to keep the office running smoothly.
- Orchestrate daily NYC office operations via vendors (lunches, snacks, supplies, onsite housekeeping), coordinate deliveries, and proactively restock.
- Act as a communication hub for pertinent information and office-wide announcements.
- Partner with the People Team on onboarding (key cards, lunch accounts, seating, IT setup, office tours) and deliver a white-glove experience for traveling employees and external guests (including city recommendations and arrangements).
Requirements
- 1-4 years of experience as an Executive Assistant, Office Manager, and/or in a related role; preferably in a fast-moving startup/tech environment.
- Bachelor’s degree in Business, Communications, Human Resources, or a related field.
- Ability to work autonomously with strong judgment and initiative.
- Exceptional organizational skills and ability to prioritize effectively amid ambiguity.
- Clear, concise, timely communication skills; able to foster cross-functional collaboration.
- Proficiency with Google Workspace, Slack, and Notion; comfortable learning new digital platforms and project management tools quickly.
- Bonus: Experience supporting executives and managing offices at a scaling startup (200+ employees).
