Executive Assistant
Summary
New York State Executive Chamber is hiring an Executive Assistant to provide professional, confidential administrative support to principals in the Executive Chamber. The role ensures effective coordination and operational support through scheduling, communications management, and cross-stakeholder liaison work.
What you'll do
Provide administrative support to Executive Chamber staff to ensure efficient and effective operations.
Serve as the primary point of contact for the reporting principal.
Manage complex calendar scheduling for meetings, appointments, and conference rooms, including distributing materials, Zoom links, updates, and reminders; proactively resolve scheduling conflicts.
Act as liaison between Executive Chamber staff, State agencies, State officials, and legislative personnel.
Maintain and update internal resources for the reporting principal.
Manage and document incoming calls, emails, and correspondence; route communications for timely responses.
Coordinate guest arrivals and follow procedures for escorting guests to meetings.
Use software tools including Microsoft Suite, Google Workspace, LATs, and Zoom.
Coordinate travel arrangements and ensure compliance with state travel policies; maintain travel documentation for timely reconciliation.
Manage paper and electronic filing systems.
Perform additional duties and projects as assigned.
Requirements
Minimum 4 years of administrative experience reporting directly to upper management (an associate’s degree or higher may substitute for up to 2 years of required experience).
Excellent written and verbal communication skills.
Strong time-management skills and ability to organize and coordinate multiple concurrent projects.
Proficiency with office productivity tools and ability to learn new software and systems.
Flexible team player able to adapt to changes and take on challenges.
Ability to maintain confidentiality of sensitive information.
