Summary

The Project Management Coordinator supports Project Managers across product launches and operational and supply chain initiatives to ensure accurate timelines, strong cross-functional alignment, and high-quality execution in a fast-paced environment.

What you'll do

  • Assist Project Managers in creating, updating, and maintaining comprehensive project timelines for launches, in-store merchandising, displays, sampling programs, and updates to existing items.
  • Track key milestones and deliverables to keep teams aligned and accountable.
  • Document risks, gaps, and issues and escalate to Project Managers as needed.
  • Support workflow management by preparing meeting agendas, consolidating recaps, monitoring deadlines, and following up on action items.
  • Coordinate scope changes, artwork updates, and cross-functional inputs to keep timelines accurate and current.
  • Support creation of item codes and BOMs; enter lead times, MOQs, and pricing into spec and purchasing systems.
  • Collaborate with cross-functional partners to ensure accurate item records, including pack-outs, weights, and dimensional data.
  • Track timely approval of production samples.
  • Organize project documents, trackers, and shared dashboards for accuracy and visibility.
  • Gather supplier quotes (directly or via partners) to support cost analyses and financial planning.
  • Assist with financial tracking, including budget creation/updates and risk documentation.
  • Assist with RFQ creation.
  • Identify opportunities to streamline workflows and contribute to PM process improvements.
  • Support departmental initiatives, PM best practices, and internal process enhancements.
  • Provide backup support during peak workload periods or overlapping launches.
  • Help foster a collaborative, positive, solutions-driven team culture.

Requirements

  • Bachelor’s degree required.

  • 1–3 years of experience in project coordination or project management; cosmetics/beauty/personal care/CPG experience strongly preferred.

  • Familiarity with hair care, skin care, color cosmetics, fragrance, and/or home care is a plus.

  • Advanced proficiency in Microsoft Excel; experience with Asana or other project management platforms is a plus.

  • Exceptional written and verbal communication skills (clear, concise, professional).

  • Highly organized, detail-oriented, and able to manage multiple priorities simultaneously.

Conditions

  • Location: hybrid in-office role based in NYC.

  • Compensation: $70,000–$80,000 per year, plus eligibility for a discretionary bonus plan based on individual and company performance.
