REMOTE - HR Representative

The HR Representative supports associates during Leave of Absence (LOA) by administering leave transactions, answering inquiries, and ensuring compliance with applicable laws and company policies. The role focuses on high-quality customer service, accurate processing, and effective communication with associates and business partners.

What you'll do

  • Process LOA transactions using ServiceNow, PeopleSoft, Sedgwick ViaOne, case management tools, and Excel (including uploading/entering approvals and denials, benefit elections, corrections, and adjustments).

  • Respond to associate inquiries by phone and email; manage the LOA inbox and 800-number voicemail.

  • Review and process Pay and Benefits forms and generate cases, letters, reports, and notices (e.g., benefit payment/exhaust communications).

  • Coordinate and communicate with internal partners and vendors (e.g., Payroll, Benefits, HR Services) to resolve questions and ensure smooth administration.

  • Explain Ross LOA policies and guide associates on where to find procedures for future reference.

  • Collect and document critical case data (e.g., case notes, LOA dates) to support compliance efforts, legal matters, and legal holds.

  • Provide reporting to help track and monitor departmental workload and outcomes.

  • Cross-train and provide backup support to other LOA team members; assist with training and process improvement efforts as needed.

  • Stay current on company, state, and federal guideline changes; maintain required training and system proficiency.

  • Perform other duties as assigned.

Requirements

  • Bachelor’s degree.

  • Strong customer service, communication, and problem-solving skills; ability to build positive working relationships with internal and external partners.

  • Preferred: experience administering Leave of Absence programs and knowledge of federal/state leave laws (e.g., FMLA, ADA, CA CFRA, pregnancy-related leave, military leave).

  • Ability to work independently or collaboratively and exercise sound judgment on complex and sensitive issues.

  • Strong attention to detail and accuracy.

  • Working knowledge of Microsoft Office; proficiency with Excel and PeopleSoft.

  • Familiarity with HR systems and with Benefits and Payroll practices.

  • Ability to work primarily on a computer in an office/remote environment; consistent timeliness and regular attendance.

Conditions

  • Remote position within the United States; cannot be performed in the State of Colorado or in New York City.

  • Work involves computer-based tasks, phone/email communication, and participation in in-person and remote meetings.

  • Pay is listed as an hourly base pay range of $22.69–$32.79 (total compensation may include additional rewards depending on position and location).
