Executive Assistant
Summary
WelbeHealth serves vulnerable seniors and is expanding its operations and leadership support functions. The Executive Assistant provides executive-level administrative coordination, logistics support, and communication facilitation for senior leaders, specifically supporting the CPO and the EVP of Corporate Strategy & Services. The role ensures smooth scheduling, travel, meetings, and stakeholder interactions while maintaining confidentiality and compliance with company policies.
What you'll do
Provide executive-level administrative support to multiple executives, including drafting written communications as requested.
Coordinate complex calendars and schedules, including meeting planning and coordination.
Handle travel arrangements and expense processing.
Take, document, and maintain meeting minutes.
Plan and coordinate logistics for on-site tours and events.
Communicate with external stakeholders on behalf of leadership (e.g., vendors, elected officials, regulators, board members, quality improvement contacts).
Greet and interact with community partners and visitors, creating a welcoming environment.
Protect privacy and maintain confidentiality regarding procedures and information about team members, participants, and families.
Complete required documentation accurately and on time.
Follow WelbeHealth policies and procedures and participate in required quality improvement activities, trainings, and meetings.
Requirements
Associate’s degree, or two (2) years of executive-level administrative experience in lieu of education.
Bachelor’s degree preferred.
Minimum three (3) years of experience supporting multiple executives or managers as an Administrative Assistant or Executive Assistant.
Demonstrated experience with Microsoft Office; high-level knowledge of PowerPoint required/preferred, with Teams and SharePoint preferred.
Highly motivated, self-directed, proactive, and able to execute in a fast-changing environment.
Ability to make sound decisions in emergency situations; strong customer service orientation.
Conditions
Schedule may be varied and can include evenings, nights, and weekends.
Travel required at least once per quarter.

Compensation includes base salary range plus bonus; total rewards package referenced.
