Summary

Holliday Energy Law Group is a transactional law firm focused on oil and gas title, regulatory, and operational matters, seeking a Paralegal to support a growing team.

The role serves as the operational backbone of the firm by assisting attorneys with written work product, managing deadline and matter-tracking systems, and ensuring high-accuracy, on-time deliverables for clients.

What you'll do

  • Draft motions, applications, and filings for administrative proceedings; ensure accuracy, completeness, and readiness for submission.

  • File documents with administrative agencies; track confirmations and maintain filing records.

  • Edit legal documents for spelling, grammar, formatting, and consistency; prepare templates.

  • Assist with first-pass document review and research.

  • Migrate data from MS Excel into MS Word; prepare division order spreadsheets and land maps.

  • Prepare regulatory filing drafts for attorney review and finalize work product for client delivery.

  • Support compulsory pooling applications and related administrative tasks.

  • Serve as LawToolBox Administrator/Tickler Manager: enter new matters within 24 hours, apply deadline templates, assign responsible attorneys, and maintain system integrity.

  • Monitor deadline dashboards daily; alert attorneys to deadlines due within 48 hours; escalate at-risk deadlines immediately.

  • Generate weekly firm-wide deadline reports and prepare deadline summaries for Monday team huddles.

  • Ensure SOPs and QC checklists (Perfect Wiki) are followed; flag deviations and identify process gaps for updates.

  • Support quality control: track QC checklist completion, confirm two-attorney review rule, coordinate client approval steps before filings, and assist monthly QC audits.

  • Support client communications: schedule quarterly client pulse check-ins (HubSpot) and send post-project check-in emails within one week.

  • Assist with client onboarding package distribution and orient new clients on deliverables.

  • Participate in quarterly planning and execution of firm priorities (Rockefeller Habits).

Requirements

  • Minimum 5 years of direct experience as a paralegal, legal assistant, or comparable role at a large law firm or corporation.

  • Excellent written English; strong editing ability for spelling, grammar, and consistency.

  • Exceptional attention to detail; ability to verify facts, figures, party names, legal descriptions, citations, calculations, and filing requirements.

  • Experience drafting and filing motions/applications/documents with administrative agencies or regulatory bodies.

  • Proficiency in Microsoft 365 (Word, Excel, PowerPoint) and Microsoft Outlook (calendar management and deadline-related workflows).

  • Strong proficiency working in a Microsoft Teams-based environment, including managing integrated apps (LawToolBox, Perfect Wiki).

  • Strong organizational skills; ability to manage multiple matters, deadlines, and priorities.

  • Proactive communication style; raise issues early.

  • Strongly preferred: experience in oil and gas/energy, real estate, or transactional practice; administrative law proceedings (compulsory pooling, NMO CD filings, regulatory work).

  • Strongly preferred: experience with practice management/deadline tracking software (LawToolBox, Clio, PracticePanther, or similar).

  • Strongly preferred: proficiency with AI-assisted workflows and tools (e.g., ChatGPT, Claude, Copilot) for research/drafting/review with critical evaluation.

  • Strongly preferred: HubSpot (or similar CRM), knowledge base/wiki systems, and familiarity with SharePoint/OneDrive.

  • Nice to have: paralegal certificate or degree; experience supporting quarterly planning processes (EOS/Rockefeller Habits).
