People Success Coordinator

Summary

Greenhouse is a remote-first hiring software company on a mission to help every company become great at hiring. The People Success Coordinator supports internal communications and people programs so employees stay informed, connected, recognized, and engaged across a fully distributed environment. This role acts as an operations hub across Internal Communications, People Experience, IDEA, and Organizational Development.

What you'll do

  • Support internal communications campaigns by responding to requests and maintaining the Internal Communications calendar and Asana projects
  • Help run company-wide meetings (All Hands, AMAs) through recording management, run-of-show updates, planning documents, and tracker maintenance
  • Maintain Inside Greenhouse (intranet) content by coordinating with content owners to keep pages accurate, published, and easy to navigate
  • Coordinate annual Kickoff logistics including budget tracking, watch-party host support, and related operational needs
  • Execute People Experience programs including Bonusly distributions, Golden/Silver Gnome award fulfillment, and Workday ticket triage
  • Manage procurement and vendor processes for People Success teams (purchase orders, change orders, invoicing, onboarding steps including legal and security reviews)
  • Coordinate People Success operating rhythms such as QBRs, quarterly meetings, focus/feedback groups, and monthly leadership updates (The People Branch)
  • Support offsites and events for the People Team and Employee Resource Groups by coordinating travel, accommodations, meals, and participant communications
  • Assist Organizational Development programs with onboarding logistics, facilitator scheduling, new hire surveys, calendar invites, and learning content updates; with growth opportunities to facilitate sessions
  • Take on additional projects and responsibilities as business needs require

Requirements

  • Strong attention to detail and organizational skills; ability to manage multiple tasks, lists, deadlines, and stakeholders in a fast-paced environment
  • Growth mindset, openness to feedback, flexibility, and adaptability as responsibilities evolve
  • Willingness to handle administrative work and support a broad range of people programs and events
  • Strong written and verbal communication skills; comfortable collaborating asynchronously in a remote setting
  • Comfort using collaboration and HR tools such as Slack, Zoom, Workday, Google Workspace, and Asana
  • Ability to manage logistics and timelines including calendars, budgets, attendee lists, and vendor processes
  • Ability to work cross-functionally with Internal Communications, PX, IDEA, OD, IT, Legal, Security, and Finance
  • Interest in People/HR, Internal Communications, or Employee Experience
  • Experience in coordination, events, operations, or administrative roles (work, internships, campus roles, or volunteering) is a plus
  • Basic video editing or multimedia skills are a plus
  • Must be currently authorized to work in the United States on a full-time basis

Conditions

  • Work style: Remote-first / fully distributed; shared office space available in New York City and Ireland; optional co-working spaces

  • Compensation: National pay range $60,800–$85,200; may include additional compensation such as stock options, bonuses, and merit increases
