Summary
Atrium Health (Advocate Health) / Wake Forest University School of Medicine is hiring an Education Program Specialist (Year 4) to support the fourth-year MD program. The role oversees clinical course and clerkship operations, ensuring timely execution, consistency, and compliance with educational requirements. This position partners closely with faculty, associate deans, and hospital rotation sites to coordinate curriculum delivery and logistics.
What you'll do
- Plan, implement, coordinate, and evaluate fourth-year clinical courses and clerkship activities; ensure timely completion of course/clerkship deliverables.
- Serve as fourth-year program liaison with specialty rotation coordinators and external partners for away rotations (VLSO).
- Co-coordinate the Transition to Residency capstone course, including facilitator recruitment, scheduling, virtual components, evaluations, metric tracking, room reservations, and logistics.
- Support implementation of MD program operational policies and procedures.
- Serve as primary contact for fourth-year clerkship initiatives; support additional courses such as Transition to Patient Care, CPXs, and OSCEs.
- Manage and maintain Canvas pages for fourth-year courses/clerkships (and assist third-year pages as needed).
- Coordinate with affiliated hospitals and clinics in the Winston-Salem area to secure rotations, space, and clerkship support.
- Proctor examinations across UME years, including third-year NBME shelf examinations.
- Contribute to budget expenditure planning with associate deans and curriculum leadership.
- Conduct ongoing quality assurance reviews of syllabi, goals/objectives, instruction, orientations, and faculty/student evaluations; recommend improvements based on outcomes data.
- Manage tracking and approval of fourth-year absence requests within the absence management system.
- Oversee room scheduling systems; coordinate with student groups and UME curriculum to minimize conflicts and meet scheduling needs.
- Arrange and facilitate team meetings; attend staff/faculty meetings to share and gather information; promote collaboration and effective communication.
- Attend and contribute as a non-voting member of curriculum committees.
- Advise on operational implementation of curricular elements (design, delivery, assessment) and provide administrative support for mission-critical meetings.
- Ensure compliance with institutional and sponsor regulations and guidelines.
Requirements
- Bachelor’s degree required.
- At least 2 years of relevant experience (or equivalent) required.
- At least 2 years of experience in project management, program management/development, administration, or equivalent required.
- Excellent oral, written, and interpersonal communication skills; ability to work with individuals from diverse educational and cultural backgrounds.
- Ability to work independently with minimal supervision and collaboratively as part of a team.
- Strong computer skills, including spreadsheets and presentation software.
- Strong organizational skills, multitasking ability, problem-solving skills, and analytical/critical thinking skills.
- Ability to act as a department liaison and build relationships across departments; customer service orientation.
- Ability to manage special projects under pressure and meet deadlines; strong presentation and influencing skills.
- Availability for off-site travel and flexible hours outside the typical working environment as needed.
Conditions
- Full-time; benefits eligible.
- 40 hours per week; Monday–Friday, 8:00am–5:00pm.
- Pay range: $28.55–$42.85 per hour (base pay within range based on qualifications/experience).
- Work environment: clean, well-lit, comfortable office setting.
- Local travel to hospitals and clinics may be required.
