Executive Assistant, A&R
Summary
Warner Music Group (Warner Records Group) is seeking an Executive Assistant to support the President of A&R within its artist discovery and development organization. The role provides high-level administrative support plus project management assistance to help keep A&R operations, scheduling, travel, and communications running smoothly.
What you'll do
- Manage and coordinate the executive’s calendar, scheduling, and meeting logistics, including conference calls and in-person meetings.
- Receive and direct visitors and help maintain a welcoming office environment.
- Ensure executive timeliness for calls and meetings; take diligent meeting notes and create action-item lists when needed.
- Serve as a key point of contact for internal and external partners and escalate high-priority items to the executive promptly.
- Prepare correspondence (memos, emails) and communicate critical information from materials and documents.
- Process and maintain travel and entertainment expenses using Concur.
- Coordinate frequent travel for executives and artists, both domestic and international.
- Complete ad hoc and independent projects as needed to support the executive and A&R-related initiatives.
- Partner with Facilities and IT to maintain executive offices and ensure conference rooms are functioning properly.
- Handle general office duties including packages, mail, and maintaining office supply inventory.
- Uphold company Code of Conduct and core values in day-to-day work.
Requirements
2+ years of administrative experience.
Strong understanding of recording, production, and the creative side of the music business; general knowledge of key industry players and broad familiarity with music.
Ability to work independently, take initiative, and collaborate effectively with all levels of the organization, clients, and vendors.
Excellent verbal and written communication and interpersonal skills.
Ability to work under pressure and meet deadlines; strong attention to detail; effective multitasking and prioritization with urgency.
Discretion and ability to handle confidential matters appropriately.
Accurate filing and maintenance of music/materials.
Preferred: undergraduate degree.
Preferred: experience with Google Workspace.
Conditions
Compensation: $20.00 to $25.00 hourly (actual pay depends on factors such as experience and business needs; range subject to change).
In-office expectation: minimum of four days per week in the office.
