Summary
AHIMA is a global nonprofit organization advancing the health information management profession through education, certification, professional development, and advocacy. The Executive Assistant provides high-level administrative and project support to the CEO and CFO while also supporting HR initiatives. The role ensures smooth executive operations through coordination, communication, and confidential administrative support.
What you'll do
Provide executive support to the CEO and CFO, including preparing correspondence, presentations, meeting agendas, and minutes.
Coordinate executive meetings and organizational events, including scheduling, agenda development, and preparation of materials.
Manage executive calendars, travel arrangements, and expense reports to optimize time utilization.
Oversee special projects by tracking progress and ensuring timely completion.
Facilitate communication of key issues and updates to support informed decision-making.
Handle confidential and sensitive information with professionalism and discretion.
Support HR initiatives by managing staff charts, internal directories, and employee milestone acknowledgments.
Assist with HR-related project management for staff events, training programs, surveys, and compliance reporting.
Collaborate with HR to maintain and improve the organization’s SharePoint site, ensuring accuracy and accessibility.
Requirements
Minimum 5 years of experience providing executive-level administrative support.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Microsoft Teams.
Strong organizational and time management skills with meticulous attention to detail.
Excellent verbal and written communication skills.
Ability to manage multiple projects simultaneously from inception to completion.
Experience in project management and stakeholder coordination.
Ability to handle sensitive and confidential information with discretion and sound judgment.
Demonstrated problem-solving skills and proactive approach.
Experience supporting HR functions and initiatives (preferred).
