Summary
Hook is a social music platform backed by top-tier investors, focused on next-generation music discovery, fan expression, and creator growth. The Executive Assistant will support the Founder & CEO by managing priorities, scheduling, communications, and logistics to keep leadership focused on the highest-impact work. The role also provides coordination support to the COO/CPO and other leaders as needed.
What you'll do
- Manage and optimize the CEO’s calendar to align time with top priorities
- Coordinate and prioritize scheduling across internal teams, partners, investors, and external stakeholders
- Maintain visibility into CEO priorities and ensure the calendar reflects them
- Prepare meetings by coordinating agendas, confirming logistics, and organizing materials
- Assist with inbox management and draft responses when appropriate
- Identify scheduling conflicts or operational challenges and proactively resolve them
- Provide scheduling and coordination support to the COO/CPO and other leadership members as needed
- Arrange domestic and international travel (flights, accommodations, itineraries) for the CEO and other leaders
- Coordinate logistics for offsites, events, and partner meetings
- Track expenses and manage reimbursements
- Support day-to-day office operations to maintain a smooth, welcoming environment
- Coordinate with vendors, building management, and service providers
- Order and manage office supplies, equipment, and team resources
- Help organize team events, lunches, and internal gatherings
- Support onboarding logistics for new hires (workspace setup, access, etc.)
Requirements
- 2–5+ years supporting senior executives or founders (startup experience strongly preferred)
- Exceptional organizational skills and attention to detail
- Clear, professional communication across all levels of an organization
- High discretion and integrity with sensitive information
- Strong judgment and ability to anticipate needs
- Calm, professional presence in a fast-moving environment
- Collaborative, service-oriented mindset
- Highly receptive to feedback and continuous improvement orientation
- Comfort with modern productivity tools (Google Workspace, Slack, Notion, etc.)
Conditions
- Compensation: Competitive base salary with meaningful equity ownership
- Salary range (U.S.-based): $55K–$80K base annually, plus equity and benefits
- Other: Final compensation determined by experience, location, and role level
