Talent Operations Specialist
Summary
Coalition is an Active Insurance provider combining cyber insurance coverage with cybersecurity tools to help businesses prevent and mitigate digital risk. The Talent Operations Specialist enables Coalition’s global hiring engine by orchestrating interviews, ensuring operational excellence, and delivering an exceptional candidate experience. The role partners closely with recruiters, hiring managers, marketing, and people teams to support hiring across the U.S. and Europe.
What you'll do
- Own end-to-end interview coordination across multiple time zones, ensuring a seamless experience for candidates and interview teams.
- Partner proactively with recruiters and hiring managers to anticipate scheduling challenges, resolve issues quickly, and keep hiring processes moving.
- Triage and resolve Talent Operations requests via Jira tickets related to interview logistics, systems, and role setup in line with SLAs.
- Maintain accurate ATS data and ensure smooth handoffs throughout the hiring lifecycle.
- Follow and continuously improve coordination playbooks, communication standards, and operational workflows.
- Support employer branding initiatives with Marketing (social media, careers site content, talent attraction projects).
- Identify efficiency improvements through tooling, automation, process changes, and responsible use of AI-enabled tools.
- Stay current on emerging Talent and AI tools and contribute to lightweight enablement and team best practices.
Requirements
- 2+ years of experience in Operations, recruiting coordination, or a related role.
- Experience coordinating interviews and managing complex calendars across multiple time zones (U.S. and Europe).
- 1+ year of hands-on experience using an ATS (e.g., Greenhouse).
- Clear, professional communication skills; ability to build trust and handle confidential information with discretion.
- Strong operational execution in fast-paced environments; organized, detail-oriented, calm under pressure, and comfortable with ambiguity.
Bonus: startup/high-growth experience; familiarity with Greenhouse, GoodTime, LinkedIn Recruiter, Workday, Jira Service Desk; exposure to employer branding/social/careers content; experience with AI-enabled recruiting or scheduling tools; multilingual skills or global-team experience.
