Executive Assistant
Summary
Fluidstack builds infrastructure for abundant intelligence, partnering with leading AI labs, governments, and enterprises. The Executive Assistant role supports Fluidstack leadership by owning scheduling, travel logistics, meeting preparation, and communication triage. The purpose is to remove coordination friction and return bandwidth to executives so they can focus on high-impact decisions.
What you'll do
- Manage executive calendars, including recurring commitments, meeting cadences, and scheduling principles.
- Own end-to-end travel and logistics planning for executives.
- Coordinate with other Executive Assistants to ensure continuity, coverage, and conflict prevention across the leadership team.
- Prepare meetings by organizing agendas, pre-reads, and tracking follow-up actions.
- Perform communication triage, prioritizing requests and escalating appropriately.
- Proactively identify scheduling conflicts, overloaded weeks, and calendar gaps before they become issues.
- Develop and improve systems and processes (e.g., templates, SOPs, coordination tools) to scale the EA function.
Requirements
- Demonstrated experience supporting senior leaders and managing executive time with strong judgment and prioritization.
- Highly organized and reliable, with strong attention to detail and follow-through.
- Clear, precise, and approachable written and verbal communication, including representing an executive’s voice when messaging on their behalf.
- Ability to anticipate needs, remove friction, and operate with minimal oversight.
- Kind, thoughtful, and professional interaction style with executives, teams, and external partners.
- Background in roles involving complex logistics and stakeholder priorities (e.g., operations, customer success, event management, chief of staff) is welcomed.
- Nice to have: experience supporting C-suite/founders at a growth-stage company; comfort working across time zones and with distributed teams; experience building scalable EA systems.
Conditions
Compensation: base salary range $165,000–$240,000 per year (total compensation may include equity/stock options).
Benefits: retirement or pension plan (per local norms), health/dental/vision insurance, and generous PTO (per local norms).
Work model: shared-services EA coverage across the leadership team; coordination with other EAs for continuity.
