Associate, Internal & External Event Marketing

Summary

Toast builds technology that helps restaurants and local businesses operate, increase sales, and engage customers in a digital world. The Senior Associate, Events supports planning and executing internal and external event programs to ensure Toast shows up consistently, professionally, and on brand. The role focuses on logistics, cross-functional coordination, and scalable processes that strengthen events over time.

What you'll do

  • Support planning and execution of internal and external events (team trainings, company-wide programs, tradeshows, customer-facing experiences).

  • Manage event logistics including venue/vendor coordination, travel, shipping, materials preparation, and onsite attendee experience.

  • Partner with cross-functional teams (Marketing, Sales, People, Communications, Product, Customer Success, etc.) to align events with business priorities.

  • Help ensure consistency and quality across in-person, virtual, and hybrid events.

  • Maintain event timelines, calendars, and detailed checklists.

  • Assist with budget tracking, forecasting, vendor invoicing, and basic ROI/performance reporting.

  • Coordinate staffing schedules and onsite expectations for internal teams at events.

  • Partner with Marketing Operations to support event setup, tracking, and reporting (registration data, lead uploads, attribution, dashboards).

  • Support post-event follow-up (surveys, reporting, documenting learnings, recommendations).

  • Serve as a point of contact for vendors, venues, agencies, and third-party partners.

  • Contribute to repeatable processes, templates, and playbooks for event programs.

Requirements

  • 1–3 years of event planning or coordination experience (internal, external, or both).

  • Ability to manage multiple projects in a fast-paced, deadline-driven environment.

  • Strong organization, attention to detail, resourcefulness, and project management skills.

  • Strong communication and cross-functional collaboration skills.

  • Comfort working with vendors, venues, agencies, and external partners.

  • Experience supporting budgets and tracking expenses.

  • Familiarity with registration platforms (e.g., Cvent, Bizzabo) and CRM/project management tools preferred.

  • Strong written communication (supporting event emails, landing pages, internal communications).

  • Ability to adapt in ambiguity as priorities evolve; positive, solutions-oriented team mindset.

  • Willingness to travel ~10–15%, including some weekends.

  • Compensation includes base salary plus potential additional cash compensation (if eligible), benefits, and equity (if eligible).
