Creative Assistant / Project Manager

They are hiring a hands-on Creative Assistant / Project Manager to bring structure to a fast-moving creative and marketing operation. The role ensures requests are organized, projects stay on track, and the creative team delivers quality assets on time across digital, social, web, and production work.

What you'll do

  • Manage creative project intake by maintaining an intake queue, assigning owners, setting deadlines, and ensuring briefs are clear.
  • Track projects across campaigns by maintaining timelines, status dashboards, and workflows so teams know what is live, next, and late.
  • Coordinate photo and video shoots, including logistics, scheduling, prep lists, and day-of support.
  • Organize creative assets by maintaining an accessible file system with strong version control.
  • Own approvals and proofing by routing assets to stakeholders and documenting feedback to keep review cycles tight.
  • Provide traffic management by prioritizing designer/editor workloads, removing blockers, and flagging capacity risks early.
  • Serve as a daily cross-team point of contact between creative, marketing, digital, and external partners to ensure smooth handoffs.
  • Coordinate vendors, freelancers, agencies, and contractors to align on deliverables, timelines, and quality standards.
  • Build and maintain standardized templates, tools, and workflows to reduce chaos and scale operations.
  • Report project status, milestones, risks, and blockers to leadership.

Requirements

  • Experience: 3+ years in creative traffic, project coordination, or marketing production.

  • Tools: Hands-on experience with project management platforms such as Asana, Monday.com, or similar.

  • Workflow knowledge: Familiarity with creative production processes (photo shoots, video editing, and design revision cycles).

  • Channel experience: Worked across digital, social, content, and e-commerce marketing channels.

  • Core skills: Strong organization, obsessive attention to detail, and the ability to juggle multiple priorities.

  • Communication: Able to follow up, push back diplomatically, and keep stakeholders aligned.

  • Work style: Comfortable working independently and collaboratively with clear ownership.
