The Event Coordinator leads the execution of external client events, ensuring flawless logistics, hospitality, and delivery that align with client goals and agency standards.

What you'll do

  • Serve as the primary execution lead for external client events, aligning all details with client vision and agency standards.
  • Coordinate client-facing sessions with high-level hospitality and professional delivery.
  • Support venue selection, contract negotiation, and vendor relationships to ensure service quality and cost-efficiency.
  • Oversee on-site event execution as the point of contact for logistics, registration management, and technical needs.
  • Maintain detailed event timelines and produce post-event recap reports for continuous improvement.
  • Anticipate event needs and risks; provide recommendations to maximize client investment and value.
  • Manage catering, equipment rentals, and transportation logistics for events.
  • Track event expenses to keep activations within budget frameworks.
  • Identify logistical hurdles early and implement solutions to ensure seamless participant experiences.
  • Collaborate across internal teams and advocate for resources required to deliver successful outcomes.
  • During non-peak periods, provide administrative or operational support to other departments as assigned.

Requirements

  • 2–4 years of professional event coordination experience.
  • High proficiency in G-Suite (Google Workspace).
  • Familiarity with ClickUp and event registration platforms preferred (not required).
  • Ability to remain calm under pressure and maintain professionalism in fast-paced environments.
  • Strong communication skills; well-spoken, kind, and polished with executive-level clients and vendors.
  • Flexible availability for early mornings, evenings, and weekends based on event needs.
  • Willingness to travel within Arizona and potentially to Denver and surrounding areas.
  • Reliable personal vehicle, clean driving record, and willingness to use vehicle to transport event materials and supplies.
  • Agency or professional services experience preferred (not required).

  • Location focus: events primarily based in Phoenix.
  • Travel: within Arizona; potential future travel to Denver and surrounding areas.
  • Schedule: flexible, including early mornings, evenings, and weekends as dictated by client event timing.
  • Operational cadence: event workload ebbs and flows; non-peak periods may include cross-department administrative/operational support.
