Coordinator, Experiential Marketing

Summary

e.l.f. Beauty is a multi-brand clean and cruelty-free beauty company seeking a Coordinator, Experiential Marketing to support experiential programs across e.l.f. Cosmetics, e.l.f. SKIN, and emerging brands. The role is the operational backbone for events, handling logistics, details, and systems so the team can execute creative concepts smoothly.

What you'll do

  • Coordinate event travel bookings (flights, hotels, ground transportation) and manage travel communications for team members and partners.

  • Assist with vendor onboarding and coordination.

  • Support shipment logistics, maintain inventory lists, and build detailed product planning in partnership with the Associate Manager.

  • Maintain event documentation including run-of-shows, invite coordination, contact sheets, and face sheets.

  • Attend meetings, capture notes, and document action items.

  • Assist in developing and maintaining event and product look books.

  • Provide onsite event support when applicable.

  • Maintain accurate product inventory across storage spaces and activation materials.

  • Oversee product room organization, cleanliness, labeling, shelving, and rotation to reduce waste/expiration.

  • Coordinate replenishment needs with Experiential, Office Ops, and Warehouse teams.

  • Manage storage room operations, track asset locations, and confirm timely returns post-activation.

  • Support fulfillment and packing for event product orders, kits, and replenishments as needed.

  • Maintain storage and asset logs with counts, movement tracking, and usage summaries.

  • Update project trackers and shared documents; schedule meetings and coordinate cross-functional calendars.

  • Own administrative tasks, flag gaps/risks, and build simple systems to keep projects organized.

Requirements

  • Highly organized and detail oriented, with strong checklist and timeline management skills.

  • Ability to manage multiple workstreams simultaneously.

  • Proactive, eager to learn, and comfortable operating behind the scenes.

  • Clear, professional communication skills.

  • Resourceful and calm under pressure.

  • Interest in growing in experiential marketing and event production.

  • Bonus: internship or early career experience in events, production, hospitality, or marketing.

  • Bonus: strong enthusiasm for live events and culture-driven experiences.

Conditions

  • Hybrid schedule: 3 days in office and 2 days at home.

  • Flexible time off and year-round half-day Fridays.

  • Total compensation includes base salary, annual performance bonus eligibility, and equity.
