Event Coordinator

Remote Lead $7.4k/mo

Summary

Zillow’s Brand team is seeking an Events Coordinator to support Sales Events & Brand Partnerships by delivering high-caliber B2B/B2C and industry event experiences. The role coordinates smaller broker events end-to-end and supports larger events through project and vendor management to drive sales enablement, agent engagement, and brand visibility.

What you'll do

  • Coordinate smaller broker events end-to-end, from planning through execution.
  • Support event leads on larger events by project managing workstreams, tracking timelines, and coordinating cross-functional partners.
  • Order and manage event needs such as booth requirements, swag, registration, and lead-capture tools; manage vendor relationships and delivery timelines.
  • Manage printing and shipping for event materials to ensure accurate, on-time delivery to event locations.
  • Create event content using templates (attendee communications, agendas, speaker briefs).
  • Track event budgets and expenses; reconcile invoices to keep events within budget parameters.
  • Coordinate with venues, caterers, AV/tech partners, and production vendors to ensure seamless execution.
  • Provide clear onsite and virtual direction to attendees, speakers, and vendors (where to be, when to arrive, what happens next).
  • Recap meetings and event debriefs for the broader team with minimal editing required.
  • Identify risks (timing conflicts, vendor dependencies, budget/capacity issues) and flag early with proposed solutions.
  • Contribute ideas on formats, logistics solutions, run-of-show adjustments, and experience elements aligned to objectives.
  • Gather post-event feedback and compile reports on success metrics, lessons learned, and process improvements.
  • Continuously identify and flag opportunities to improve templates, checklists, and communication flows.

Requirements

  • 2+ years of professional experience in events, marketing, or creative agency roles.

  • Ability to work independently with minimal supervision and collaborate effectively in a team environment.

  • Strong multitasking, prioritization, time management, and attention to detail; ability to adapt to changing priorities and deadlines.

  • Professionalism, initiative, and high responsibility in supporting high-profile events.

  • Ability to travel and attend in-person events (approximately 15–25%).

  • Proficiency with software tools such as Google Workspace, Zoom, and other team-adopted technologies.

Conditions

  • Remote role (U.S. employees may live in any of the 50 United States, with limited exceptions) and must identify a working location to the company.

  • Travel requirement: 15–25% for in-person events.

  • Compensation: hourly base pay range varies by state (e.g., $33.90–$54.10/hr in CA/CT/MD/MA/NJ/NY/WA/DC; $32.20–$51.40/hr in CO/HI/IL/MN/NV/OH/RI/VT) plus eligibility for equity awards based on experience, performance, and location.
