Summary
Vestis is seeking an Administrative Coordinator - First Aid to support multiple corporate and market center functions including Finance, Payroll, HR, compliance, purchasing, billing, and operations. The role focuses on coordinating administrative processes, maintaining records and reporting, and supporting day-to-day office and business operations.
What you'll do
- Support weekly payroll processing by tracking time and attendance, reporting commissions, and ensuring compliance with company policy and applicable collective bargaining agreements.
- Post and distribute notices related to company policy, payroll, HR, and compliance to market center employees.
- Review and maintain the time and attendance system.
- Implement new HR administration procedures and forms as directed by HR/Finance leadership.
- Maintain personnel files and compliant records (e.g., DOT, OSHA, and other HR documentation).
- Support new hire orientation and compile new hire packets according to central office guidelines.
- Review, support, and maintain management reports (e.g., Gain & Loss, monthly inventory, monthly API review).
- Support processes for accurate inventory counts, safety activities, and API reviews.
- Perform weekly manual data input for Key Performance Measures (KPM).
- Support daily office functions by ordering supplies via iProcurement and coordinating business cards and computers for new employees.
- Support billing by uploading invoices to Coupa, Ariba, or similar systems and sending billing information to the Billing Hub.
- Provide management reporting and reports to the management team as needed.
- Assist with creation, documentation, and maintenance of Standard Operating Procedures (SOPs) for business processes.
- Complete additional tasks as assigned to support evolving operational needs.
Requirements
- 1-5 years of work experience preferred.
- Proficiency with Microsoft Suite required, specifically strong Excel experience.
- Strong oral and written communication skills.
- Detail-oriented with strong organizational skills and ability to multi-task.
- Ability to develop and maintain positive working relationships.
- Experience with Oracle Business Suite is a plus.
- 2-year degree preferred but not required.
