Summary
Ragan Communications is a media and training organization serving the communications, marketing, and public relations industries. The Executive Assistant will act as a strategic partner to the CEO and executive leadership team, ensuring seamless operations and enabling high-level priorities in a fast-growing organization.
What you'll do
- Serve as a trusted strategic partner and operational extension of the CEO, anticipating priorities and surfacing risks and opportunities.
- Manage the CEO’s calendar end-to-end, prioritizing meetings and establishing daily, weekly, and monthly operating rhythms.
- Gatekeep meeting requests and manage meeting flow using strong judgment to protect time for high-value work.
- Coordinate agendas, prepare materials, and follow up on action items for executive and leadership meetings.
- Manage travel logistics, itineraries, and preparation materials for trips, conferences, and speaking engagements.
- Support external engagements (partner meetings and industry events) to maximize relationship ROI.
- Assist with strategic initiatives, special projects, and cross-functional work requiring confidentiality.
- Maintain executive dashboards, tracking systems, and workflows to monitor progress and deadlines.
- Support leadership meeting cadence by capturing ideas, organizing notes, and tracking decisions and follow-through.
- Coordinate executive offsites, planning sessions, and strategic retreats.
Requirements
- 7+ years of experience supporting a CEO, founder, or senior executive.
- Bachelor’s degree required.
- Experience in media, professional services, consulting, technology, or related industries preferred.
- Exceptional judgment and emotional intelligence.
- Strong written and verbal communication skills.
- Advanced calendar management and priority management skills.
- High discretion and ability to maintain confidentiality.
- Proactive, anticipatory mindset with strong problem-solving and strategic thinking.
- Exceptional organizational skills, attention to detail, and comfort working in fast-paced, high-performance environments.
- Ability to meet in person in NYC or CT at least once a month and willingness to travel 3–4 times per year.
