Executive Assistant (Project Hire)
Summary
The Walt Disney Company (Walt Disney Imagineering) is hiring an Executive Assistant (Project Hire) to support a cross-discipline project team creating innovative theme park and attraction experiences. This role provides high-level administrative support to project leadership, ensuring smooth coordination, communication flow, and operational execution in a fast-paced environment.
What you'll do
- Provide proactive, organized administrative support to project team leadership and project-wide needs as required.
- Manage complex calendars, coordinate internal/external meetings, and prepare for meetings and events.
- Plan and execute domestic and international travel arrangements.
- Anticipate, prepare, and organize documents and information needed prior to events and meetings.
- Maintain daily prioritization of communications, meetings, and action items.
- Maintain teamwide data such as contact lists, org charts, and distribution lists.
- Prepare expense reports and process workflow requirements through SAP.
- Support onboarding of new employees, answering questions and providing basic training on processes, tools, and methodologies.
- Exercise discretion, judgment, diplomacy, and maintain confidentiality while driving follow-through and continuous improvement.
Requirements
Experience: 3+ years of administrative experience supporting senior-level executives in a corporate environment with significant interaction with senior leaders.
Communication: Excellent written, verbal, and interpersonal communication skills; able to partner and network with all levels of management.
Core skills: Organization, prioritization, problem-solving, initiative, sound judgment, ability to resolve issues with little direction, and ability to work effectively in a team.
Tools: Strong computer/technology skills including Microsoft Word, Excel, Outlook, PowerPoint, Keynote, and SAP tools (e.g., Concur, ESS and related systems).
Professionalism: Ability to handle confidential and sensitive information with discretion; detail-oriented with strong follow-through and archiving/document management skills.
Education: High School Degree or equivalent (Bachelor’s Degree preferred).
Preferred: 2+ years supporting senior executives at The Walt Disney Company; knowledge of TWDC culture, structure, and operating practices.
Conditions
Type: Full-time (Project Hire).
Schedule: 40-hour work week reference; weekly hours may vary based on business needs; flexibility with work schedules to meet impromptu demands.
Compensation: Hiring range stated as $54,000 to $72,300 per year; may include bonus and/or long-term incentive units depending on level and role.
