Executive Assistant
Summary
Philips is a global health technology company focused on improving health and well-being through innovative medical devices and healthcare solutions. The Executive Assistant role supports senior leaders in Image Guided Therapy Devices by managing complex administrative and operational work so executives can focus on strategic priorities. This position is office-based in Plymouth and partners closely with global and regional leadership teams to ensure smooth communication and execution.
What you'll do
Provide high-level administrative support to one or more executives, including complex calendar, meeting, and communication management.
Plan and coordinate logistics for leadership meetings, off-site events, customer visits, and site visits.
Prepare meeting materials and agendas for Ultrasound Services and enterprise leadership/champion meetings.
Manage travel arrangements (flights, lodging, transportation) and related expense processes using Concur.
Track budgets, purchase orders, and expenses; ensure accurate and timely reporting.
Handle sensitive information with discretion and maintain confidentiality.
Coordinate with global and regional teams to enable effective communication and collaboration.
Support weekly and monthly Service Leaders meetings, including coordination with other executive assistant teams.
Assist with reports, presentations, and correspondence as needed.
Identify and implement process improvements and operational efficiencies.
Maintain organized filing systems and manage information flow.
Act as liaison between executives and internal/external stakeholders.
Requirements
Associate’s degree required; Bachelor’s degree preferred (Business Administration, Communications, or related field).
Minimum 5 years of experience as an Executive or Management Assistant in a large, international organization.
Exceptional written and verbal English communication skills.
Proficiency with Microsoft Outlook, calendar management, and email organization.
Experience with travel booking and expense tools such as Concur.
Strong organization, planning, multitasking, and problem-solving skills; ability to work independently under pressure.
Experience partnering with senior leadership and cross-functional teams.
High level of discretion and ability to manage confidential information.
Ability to operate in a fast-paced environment with tight deadlines and shifting priorities.
Physical and cognitive ability to perform job requirements with or without accommodations.
Conditions
Office-based role with a minimum of 3 days per week onsite.
Location: Plymouth, Minnesota.
Competitive pay range of $39/hour to $62/hour (commensurate with experience).
