Executive Assistant (Remote)
Summary
Prime Therapeutics is a pharmacy benefit management organization focused on improving healthcare through innovative and patient-centered pharmacy solutions. The Executive Assistant supports the Executive Leadership Team by ensuring smooth day-to-day operations through high-level administrative support, coordination, and communication in a remote environment.
What you'll do
Provide comprehensive administrative support to one or more members of the Executive Leadership Team (ELT).
Serve as the primary point of contact for assigned executives, managing correspondence, calls, and visitors.
Manage and prioritize executive calendars, ensuring efficient scheduling and smooth transitions between meetings.
Coordinate travel arrangements (lodging, transportation) and negotiate with vendors for preferred rates and accommodations.
Organize large or sensitive meetings and conferences, including logistics, technology setup, and materials preparation.
Draft, review, and distribute policies, procedures, and business correspondence.
Prepare presentations, reports, and meeting materials for executive and board meetings.
Document meeting minutes and follow up on action items with stakeholders.
Track and process invoices, expenses, and reimbursements for executives.
Support special projects such as onboarding, recognition programs, and large-scale events.
Maintain confidentiality of sensitive information and uphold company policies and procedures.
Collaborate with internal teams and external vendors to ensure seamless operations.
Perform additional duties as needed to support strategic objectives.
Requirements
High school diploma or equivalent GED from an accredited institution.
Minimum 10 years of experience in an administrative role.
At least 3 years of experience supporting C-level executives (or experience supporting executives at Prime).
Legal authorization to work in the United States without sponsorship.
Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Visio).
Experience creating executive-level reports, spreadsheets, and presentations.
Exceptional written and verbal communication skills.
Strong organization, prioritization, and time-management skills.
High professionalism and executive presence; ability to handle confidential information with discretion.
Proactive problem-solving skills; ability to anticipate needs.
Ability to work independently and adapt to changing priorities.
Strong interpersonal skills and ability to collaborate across all levels of the organization.
