Summary
The Equus Group is seeking an experienced Executive Assistant to support senior leadership in its New York office within a leading global investment advisory firm. The role provides high-level administrative and operational support, helping manage daily priorities, client interactions, and team coordination in a fast-paced environment.
What you'll do
- Manage complex calendars and scheduling for senior executives, including internal meetings, client calls, and travel logistics
- Coordinate domestic and international travel arrangements, including detailed itineraries and last-minute changes
- Process expense reports and maintain accurate documentation in accordance with firm policies
- Assist with preparation and coordination of client meetings and marketing materials
- Serve as a point of contact between executives, internal teams, and external clients
- Coordinate meeting logistics, conference calls, and video meetings across multiple stakeholders
- Collaborate with other executive assistants across offices to ensure seamless scheduling and coordination
- Assist with CRM tracking and administrative systems used to manage client relationships and internal activity
- Support organization of client events, conferences, and team gatherings
- Maintain organized documentation and assist with reporting or administrative projects as needed
- Identify opportunities for process improvements to enhance team efficiency
Requirements
- 5+ years of experience supporting senior executives in a professional services environment (e.g., investment banking, consulting, private equity, law, or similar)
- Strong calendar management and travel coordination experience
- Excellent organizational skills with the ability to prioritize competing demands
- Strong written and verbal communication skills
- High level of professionalism and discretion when handling confidential information
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
- Experience with CRM and/or expense platforms preferred
- Proactive, solutions-oriented mindset with ability to anticipate needs and manage shifting priorities
- Strong attention to detail and reliability in a fast-paced environment
