Editorial Assistant
Summary
Scholastic is seeking an Editorial Assistant to support the School Market publishing team focused on licensed media publishing and nonfiction. The role provides administrative and project management support across a high-volume list, helping ensure accurate title data, smooth workflows, and timely delivery of seasonal products and promotional materials.
What you'll do
- Manage data entry and data integrity for 150+ titles annually in STEP/Epic databases and shared Google Drive documents.
- Create P&L forms in the Monarch P&L system; track costs and approvals; assign ISBNs when projects are final and approved.
- Support departmental workflows by creating/routing contract requests, purchase order requests, quote forms, and fact sheets.
- Code and process invoices and provide ongoing administrative support to the editorial department.
- Coordinate purchase and/or development of school supplies and promotional incentive items (e.g., pens, posters, stickers, bookmarks) for school channels.
- Project-manage approximately 10–12 licensed stationery items each season, including items with guided editorial content (e.g., quizzes, writing prompts, activities).
- Create seasonal digital catalogs and build/maintain PowerPoint presentations with covers, ISBNs, specs, descriptions, and sales figures.
- Distribute seasonal materials to international publishers, editorial directors, and category managers/buyers.
- Write cover copy and marketing copy as needed.
- Support 5–7 freelance editors and Tangerine Press colleagues (training on licensor systems, downloading assets, routing materials for approval, navigating Scholastic systems).
- Assist with nonfiction editorial tasks including light fact-checking, research, and working with subject matter experts as needed.
Requirements
- Bachelor’s degree.
- Internship and/or 1 year of administrative assistant experience.
- Proficiency with MS Office, including creating compelling and informative PowerPoint decks.
- Strong proofreading skills and attention to detail.
- Ability to juggle multiple projects simultaneously.
- Familiarity with and interest in licensed media brands for children.
Conditions
Full-time, regular role.
Based in New York City; minimum of two days per week in the SoHo office (some teams may require additional in-office attendance).
