Summary

The Executive Assistant will support CxO-level executives by delivering high-impact administrative partnership that helps leaders prioritize, make decisions, and run smoothly. This role sits within the People & Culture organization and contributes to a strong employee experience.
What you'll do
- Manage and organize a CxO’s highly complex calendar, acting as a gatekeeper for time and priorities.
- Field internal and external scheduling requests and recommend meeting plans aligned to executive and team priorities.
- Coordinate with executive support peers and senior leaders on meetings, agendas, logistics, and fast-changing plans.
- Serve as a sounding board and confidant to keep the executive well informed and support decision-making.
- Handle sensitive and confidential matters with discretion and tact.
- Build proactive relationships with key internal partners.
- Support all-hands, internal events, and offsites, including logistics and budget needs.
- Compile receipts and submit accurate, timely expense reports.
- Support board meetings by preparing agendas and collating/distributing materials.
- Plan and coordinate travel (air/ground, hotels, itineraries).
- Partner with an in-office team to support needs such as catering coordination and AV assistance.
Requirements
- 3+ years of executive administration experience supporting CxO-level leaders at a publicly traded company.
- Strong service mindset and passion for creating great experiences for others.
- High emotional intelligence and ability to tailor support to individual leaders.
- Professional presence and comfort working with senior executives and external stakeholders.
- Excellent written and interpersonal communication skills; ability to provide clarity with timely, appropriate information.
- Strategic, proactive thinking with strong logistics planning and efficiency mindset.
- Ability to operate with agility and good judgment in ambiguity while maintaining discretion.
- Strong prioritization, multitasking, and attention to detail across multiple deadlines.
- Ability to lift up to 50 lbs when needed.
- Fluency with Google Workspace tools.
