Executive Assistant

Summary

Atmosphere is a streaming TV platform for businesses, entertaining audiences in venues such as gyms, bars, and restaurants. They are hiring an Executive Assistant to support the CEO and CRO by optimizing executive time, managing complex logistics, and enabling smooth executive operations. The role also provides office and operational support for the NYC office and teams as needed.

What you'll do

  • Coordinate and manage complex executive calendars, optimizing time allocation across meetings and commitments
  • Plan and organize board meetings, conferences, and business events; prepare agendas and materials
  • Anticipate conflicts and logistical risks, independently implementing solutions to keep operations running smoothly
  • Serve as a communication liaison for internal and external stakeholders; manage email correspondence and inquiries
  • Arrange executive travel itineraries, accommodations, and transportation
  • Maintain confidential information and manage electronic and physical filing systems
  • Track and reconcile expense reports in line with budget guidelines
  • Order and maintain office supplies, snacks, and equipment for the NYC office
  • Support day-to-day NYC office operations and facilities initiatives with the Workplace Experience Manager
  • Coordinate onboarding logistics with HR (desk assignments, workspace setup, equipment readiness)
  • Communicate with building management and security to support a clean, safe, functional office environment
  • Provide logistical/admin support to NYC-based teams (including Sales), such as coordinating reservations and preparing meeting/event materials

Requirements

  • Proven experience as an Executive Assistant or in supporting senior-level leadership
  • Excellent written and verbal communication skills; comfortable interfacing with executives and cross-functional teams
  • Strong organizational skills with the ability to manage multiple projects, calendars, and initiatives simultaneously
  • Proficiency with Google Workspace and comfort using collaboration/communication tools
  • Exceptional interpersonal skills and professional demeanor
  • Flexibility to work outside normal office hours to accommodate executive schedules
  • High discretion and integrity in handling sensitive and confidential information
  • Startup/fast-paced environment experience is a plus

Conditions

  • Location: NYC office-based, 3 days per week (Tuesday, Wednesday, Thursday)
  • Supports CEO (Austin-based) and CRO (NYC-based); reports to VP of HR
  • Compensation: base salary range $100,000–$130,000 annually; eligible for discretionary bonus
